Purpose:

The Management Assistant provides high-level administrative and logistical support to the Vice President and is responsible for ensuring efficient office administration. This role involves managing the VP’s travel arrangements, preparing related documentation, coordinating internal and external business activities, and supporting visiting business partners. The role is vital to maintaining operational efficiency and a professional, organized office environment.

Principle Accountabilities:

Executive Support (approx. 40%)

  • Coordinate complex travel arrangements for the VP (flights, hotels, visas, transfers).
  • Prepare detailed travel itineraries, meeting documentation, and expense reports.
  • Maintain the VP’s calendar, schedule internal/external meetings, and manage communications.
  • Prepare correspondence, and reports as required.
  • Track and follow up on action items related to business travel or meetings.

Office Administration (approx. 60%)

  • Manage day-to-day office operations to ensure a smooth working environment.
  • Prepare and process payment vouchers, purchase orders, and other administrative forms.
  • Organize company business events, meetings, and internal activities.
  • Serve as a liaison for visiting business guests, ensuring all logistics are arranged (transport, accommodation, agenda coordination).
  • Monitor office supplies and place orders as needed.
  • Ensure proper record-keeping and compliance with internal administrative procedures.

Qualification Requirements:

  • Education: Bachelor’s degree in business administration, Office Management, or related field.
  • Experience: Minimum 3 years in a similar role supporting senior leadership.

Pre-requisite is fluent in English speaking and business correspondence. 

Other Competency Requirements:

  • Excellent organizational and multitasking skills with a strong attention to detail.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Flexible, proactive, and able to work independently with minimal supervision.
  • Experience with financial or procurement systems is an advantage.
  • A strong work ethic, high level of enthusiasm and ability to excel in a flexible, fast paced environment
  • Strong team orientation balanced with the ability to work autonomously on projects and initiatives.
  • Ability to implement and influence change at varying levels across the organization

 

Other Information:

In addition to basic salary the successful applicant shall receive applicable job grade allowances and be eligible to participate in The Sol Group Pension Scheme and its non-contributory Group Health and Life Insurance Scheme.
