YOUR ROLE
We are looking to recruit an Administrative Assistant to join our team in Catterick Garrison. 

**This is a full time and permanent position.
Rate of pay is £8.91/hour

RESPONSIBILITIES

  • Receive all clients and visitors, clearly identifying the nature of their enquiry and handling it either directly or by referring them to the correct person or department taking into account the sensitivity of the enquiry. 
  • Arrange appointments for Service personnel and their families who require to see/speak with the Unit Welfare Officer. 
  • Escort Service personnel and their families to the relevant department. 
  • Responsible for the booking in of all new families to the unit, ensure all family details are correct, taking into account any change of address or family circumstances. 
  • Accurately record/relay messages for all appropriate persons and capture return contact details. 
  • Answer telephone efficiently and ensure confidentiality is maintained at all times. 
  • Phone key personnel and contact Service families to relay messages as and when required. 
  • Liaise with Estate Management Officers and Accommodation Service Accountants on behalf of Service families for the reporting of housing faults, inspections and minor enquiries. 
  • Liaise directly with the DIO (Ops) on behalf of Service families in order to arrange Move Ins/Outs. 
  • Assist families with removals and liaise with Agility Logistics to ensure correct procedures are followed. 
  • Make/receive calls to/from various entertainment agencies for the benefit of the Battalion Service families (normally on behalf of the Unit Welfare Officer). 
  • Ensure no unauthorised use of the telephone and that all calls are for official Service reasons. 
  • Responsibilities for the mail include: Receipt and distribution of all incoming mail, collect and despatch all outgoing mail. General mail is opened, sorted and placed in respective office. Address envelopes and mail as required. 
  • Assist with routine typing/word processing. 
  • Assist with the publication of unit/families Welfare Newsletters and Flyers. 
  • Maintain a complex database of all family details and ensure all entries are precise. 
  • Produce database reports and records of Service families. Maintain a Service family’s address list. 
  • Maintain the filing system and ensure all filing is completed daily and all files are kept secure. 
  • General office duties, including operation of facsimile machine, photocopier and shredding machine. 
  • Arrange transport and liaise with transport agencies for the Battalion Service families.

REQUIREMENTS

  • Excellent numeracy skills; strong written and verbal skills
  • Knowledge of applicable systems and processes
  • IT literacy is required 
  • Previous experience of working in a welfare environment would be desirable
  • PC skills (Word, Excel, Powerpoint) 
  • Fully confident with bespoke software applications
  • Ability and full confidence in producing reports
  • Customer focused – communicates well with all types of customers
